Problem → solution

Stop typing the same information into three different systems

Short answer

Manual data entry can be automated by connecting your apps so data moves between them on its own, and by using AI to read unstructured inputs such as emails, PDFs, invoices and forms and turn them into structured records. A person then only reviews exceptions instead of typing everything.

Signs you have this problem

  • Someone copies details from emails or PDFs into a spreadsheet or system every day.
  • The same customer details are entered into your CRM, invoicing tool and project tool separately.
  • Typos and missing fields cause problems later (wrong invoices, missed follow-ups).
  • Reports require exporting and combining data by hand.

Two kinds of manual data entry

  1. App-to-app copying. The data already exists in one system, and someone retypes it into another. This is solved with integrations: when X happens in one app, create or update Y in the other.
  2. Reading and typing. The data is inside an email, PDF, image or form, and someone reads it and types it in. This is where AI helps. It extracts the fields, a workflow validates them and creates the record, and a person approves anything uncertain.

A worked example: supplier invoices

  1. Invoices arrive at a dedicated inbox.
  2. AI extracts supplier, invoice number, dates, line items, tax and total.
  3. Validation checks that totals add up, that the supplier exists and that the invoice isn’t a duplicate.
  4. Valid invoices become draft bills in QuickBooks or Xero. Exceptions go to a review queue with the problem highlighted.
  5. A weekly summary shows how many were processed automatically and why any weren’t.

Start with a time audit

Before automating, count it: how many entries per week, how long each takes and how often errors happen. Then you’ll know the payback before spending anything. Use the ROI calculator or take the free AI audit.

Frequently asked questions

Can AI read invoices, receipts and forms accurately?

Modern AI document reading is very good on clear, typed documents and decent on scans and handwriting. For anything financial or legal, we add validation rules (for example, totals must add up and the supplier must exist) and send uncertain or unusual documents to a person for review.

What's the difference between this and a simple integration?

An integration moves structured data between apps, such as a new CRM contact becoming a new invoicing customer. AI is needed when the input is unstructured, like an email or PDF. Most solutions use both.

How much time can this save?

It depends on your volume. Time how long one entry takes, multiply by how many you do per week, and assume most of it can be automated with a few minutes of review. Our ROI calculator does the maths for you.
